How to Cut No-Shows With a Day-Before Text (and What to Put in It)

The RCA Team · 4 min read

A no-show is the most expensive thing that happens in a service business that nobody tracks. You lose the drive time, the fuel, the slot itself, and the job you turned away because that slot was "taken." On a $300 job with a 30-minute drive each way, a no-show can cost you closer to $400 once you count what you didn't book.

Most no-shows aren't rude customers. They're people who forgot, or who thought it was Thursday, or who never wrote it down because they booked it during a two-minute phone call while cooking dinner.

That's a memory problem, and memory problems have a cheap fix.

The day-before text

One text, the afternoon before the appointment:

Hi Maria, this is Alamo Window Cleaning. Reminder: we're scheduled tomorrow, Thursday 9/18, between 9 and 11 AM at 123 Oak St. Reply YES to confirm or call us to reschedule.

That message does four jobs.

  1. It moves the appointment from their memory to their screen.
  2. It repeats the day, date and window, which catches "I thought it was Friday."
  3. It asks for a reply, which turns a passive reminder into a commitment.
  4. It gives them an easy out. A customer who needs to reschedule will do it now, when you can still fill the slot, instead of just not being home.

Point 4 is the underrated one. A reschedule the day before is a free slot you can sell. A no-show the day of is a dead loss.

When to send it

Between 3 and 6 PM the day before works best. Earlier and it gets buried under the rest of the day. Later and people are done looking at their phones. Never before 8 AM or after 9 PM. Texting someone at 6:30 AM to remind them about window cleaning is a good way to get a one-star review.

On our platform the reminder goes out automatically the afternoon before every scheduled job, inside those quiet-hours limits, from your business number. If a job is rescheduled, the reminder follows it. Nobody has to remember.

What to put in it

The template above covers it, but here's the checklist:

Leave out: pricing (that conversation already happened), long policy text, and anything that sounds like a legal notice.

A second reminder for bigger jobs

For jobs where the customer needs to do something first, like clear a driveway, move furniture or make sure the gate is unlocked, send a second text the morning of:

Morning, Maria. We're on our way for the 9 to 11 window. Please make sure the side gate is unlocked. See you soon.

This also handles the "I didn't hear the doorbell" no-show, because now they're expecting you.

Confirmations at booking time

The reminder works better when it isn't the first text. When the appointment is booked, send a confirmation right then with the same details. Now the customer has it in writing from the start, the reminder is a repeat rather than news, and you've shown them that texting your number works.

On our platform the AI secretary sends that confirmation text the moment it books the call, in English or Spanish depending on the caller, so the reminder the day before is the second touch, not the first.

What to expect

Owners who run this consistently commonly report that a confirmation at booking plus a day-before reminder with a reply request cuts no-shows by something like half. The remaining ones are true emergencies and the occasional flake, and you'll never get those to zero.

Half is a lot. If you were eating four no-shows a month, that's two recovered slots, which is roughly $600 to $800 in work you're now doing instead of driving back to the shop.

The rule of thumb

Every appointment gets two texts: one when it's booked, one the day before. If you can't remember to send them, and you can't, have software do it. This is one of the few things in a service business that costs almost nothing and pays back every single week.
